Shin Yuu An (the “Salon”) establishes this Privacy Policy to explain how it handles customers’ personal information.
1. Information we collect
When you use website booking, we collect:
Name
Email address
Telephone number (optional)
Preferred date and time
Course
Number of guests
Notes
Page language
Traffic-source information such as UTM parameters
A submission identifier needed to prevent duplicate submissions
2. Purposes of use
We use the collected information to:
Receive appointment requests
Check availability and staff arrangements
Contact customers
Manage appointment-request records
Prevent duplicate submissions, spam, and misuse
Handle inquiries relating to appointments
3. Services used for website booking
Website booking uses Google Apps Script, Google Sheets, and Gmail. Submitted appointment details are stored in a Google Sheet managed by the Salon, and appointment notifications are sent through Gmail.
Access to appointment information is limited to personnel authorized by the Salon. We do not use appointment information for unrelated advertising emails, and we do not sell customers’ personal information.
A website submission is an appointment request, not a confirmed appointment. The appointment is formally confirmed only after you receive a reply from the Salon.
4. WhatsApp booking
If you choose WhatsApp, you send the appointment details to WhatsApp through your own action. WhatsApp booking and website booking are separate submission channels.
5. Google services and processing outside Japan
We use services provided by Google to process and store appointment information. Depending on Google’s service infrastructure and terms, information may be processed or stored in countries or regions outside Japan.
We do not state that all information is stored only in Japan. Whether a particular handling constitutes provision to a third party located outside Japan depends on applicable law, contractual relationships, processing roles, and actual operations; this policy therefore does not categorically state that it always does or does not.
6. Retention and deletion
We retain appointment information for the period needed to receive and manage appointments, communicate with customers, handle disputes, and maintain security. When the purpose of use has been achieved and continued retention is no longer necessary, we delete the information by an appropriate method. If we establish a fixed retention period in the future, we will update both this policy and the actual deletion process.
7. Requests for access, correction, deletion, or restriction of use
You may contact the Salon to request access to, correction or deletion of, or restriction of use of your information. We may need to verify your identity before responding.
8. Cookies and analytics
This website may use cookies and Google Analytics to improve convenience and understand website usage. We do not send names, email addresses, telephone numbers, notes, or appointment details to Google Analytics.
9. Changes to this policy
We may revise this policy in response to changes in laws, services used, or our operations. The revised policy will be published on this page.
